Family Office Assistant

About this Role

The purpose of a family office is to manage, preserve and increase the family’s wealth for both current and future generations, while also providing for the family’s day-to-day running costs.  Often the role of the family office assistant is to tackle traditional executive assistant duties, while also making sure that the family, or individual’s, specific needs and requirements are cared for. In one day, a family assistant might help manage financial report coordination and distribution as well as secure meals and transportation.  The highest degree of professionalism, task management and discretion are required for this position.

The position is in Louisville, KY.

Job Description

  • Provide administrative and other support
  • Manage ad-hoc projects as and when required by the family or individual
  • Carry out research for the principals and family members
  • Act as a gatekeeper to the principals, protecting their time and information
  • Prepare agendas, documentation and minutes/records of meetings
  • Carry out extensive and ever-changing calendar management
  • Coordinate meetings and calls, often over several time zones
  • Arrange travel including flights, ground transportation, lodging, dining and other activities
  • Maintain strict confidentiality and discretion with all matters relating to personal and office related matters

Job Type: Full-Time

  • Salary: $35,000

Qualifications:

  • Bachelor’s degree optional
  • Proficiency with iCal, Word, and Excel — proficiency with QuickBooks desirable
  • Proficiency in online collaborative platforms such as Google docs
  • General computer proficiency — IT experience in a Microsoft and Mac environment desirable
  • Similar or related experience desired
  • Background check, legal work status, and confidentiality agreement
  • Valid driver’s license and clean driving record
